December 9th, 2008 Meeting Agenda

December 9th, 2008 Meeting Agenda

Meal: Tom Taylor Dave Tolman
January 13th Bobby Crosby and TBD (Bobby will find someone)

  • New Business:
    - Lobster Fest next year will be November 7th.
    - Club House Gas: One of our members came to the camp one day and luckily crushed a lit cigarette out before entering the Club House. It seems someone had left one of the stove burners on high without a flame and departed the camp. Only a miracle saved this from becoming a disaster. We have spent a lot of money developing what we have and do not need to step backward by encountering a simple mistake. Please be sure that everything is off when leaving the camp, especially the gas for the stoves. Thanks for your help.
  • Financial Report:
    - John Plageman
  • Old Business:
    - Courteous hunting. Please be sure to check the hunting board for any members that may be hunting in an area that you may want to go into. Make every attempt to be courteous to other hunters.

    - Dogs inside the clubhouse. Rule Adoption:
Dogs are not allowed inside the Club House during meal times. This is defined by more than one person sitting down to eat a meal. Pet owners will be responsible for the cost of replacing any items damaged or mess caused by a pet and taking necessary steps to immediately remedy any damage (e.g,, making a trip to store to replace food items, cleaning up poop, etc.). Also dogs will not be left inside the Club House unsupervised without their owner or another responsible adult.

    - Camp Rules. – Suggested Re-write to women in camp:
Women are allowed to hunt with their husband/significant other, but not allowed in the Camping area of the club during Deer Hunting Season and Club Meetings except to transition through this area to place tags on the locater board for hunting or for the purpose of dropping off or picking up items. However, extended visits in the camp are not allowed during Deer Hunting Season and Club meetings.

    - Children under the age of 18 accompanied by an adult family member can hunt. Females under the age of 18 may not spend overnight in camp.

    - Please do not throw combustibles into places that may be burned. We had the son of a member who was injured tonight because an aerosol can was left in a burn pile and exploded. Luckily he was OK and only slightly bruised. Safety is the most important around camp.

    - A proposal was accepted that the camp should be run by the board and decisions made by the board for camp operation. This will alleviate unnecessary debate during meetings and possible save some arguing. We lost three potential members this year because of this at one meeting. The only exception to this would be as follows:

    1. Club Meetings Time and Place
    2. Camp rules
    3. Any dues increase for the membership

The motion was accepted unanimously and this will now be accepter as standard procedure for camp operation.
Because of this members need to be sure they elect competent and sincere members to represent them during yearly elections. If a member as a question, proposal or problem they would like addressed they should bring it to their Board representative to be discussed at board meetings for rulings.

    - Fence Installation: Chris Conkle is heading up this project. Please ask Chris for an update on this progress. We need to set a date for this work day and get the commitment of people for this. We will be working this Saturday to erect the fence and need as many workers as possible to help. The more people that show up the shorter time this will take. Please bring all tools that may be beneficial to this project. If we are lucky we can finish this in one day.

    - Tractor Utilities. A $20 assessment was approved for all members from the August meeting. I understand some members have not paid this assessment yet. If you have not done so, please pay this ASAP. This payment was due at the September meeting.
Please contact John Plageman if you are not sure if you paid.

    - Membership drive is in effect and we have 6 openings that need to be filled. Please make every effort to fill these remaining positions.

September Meeting Agenda

September 9th, 2008 Meeting Agenda
  • Meal: James Westbury and Chris Daniels
  • October 14th Mark Schubert and John Plageman
  • November 8th Rick Moreau and Frank Begert (Lobsters)
  • December 9th Tom Taylor and Dave Tolman
New Business:
  • The 2009 Elections are soon approaching. We need to set our sights on new board members for the following year. Nominations will be taken at the October 14th meeting with the election being held at the November 8th meeting.
  • Missing deer feeders. We have had two deer feeders disappear from the club property. A police report will be filed on this. Please keep an eye out for anyone who is on the property that should not be there. The property in the 20’s has been posted by the Forester who is coordinating with the land owner, but no fence has gone up yet. Putting this fence in place should be a priority to protect our property. Chris Conkle will be heading up this effort and we need to support him as much as possible.
  • The land owner is providing all materials including a gate for entry and exit. He is also providing us with a $300 decrease in the property lease over the next 2 to 3 years. This will be a substantial savings for the club.
  • Staples for the upcoming hunting season normally come out of the club treasury. We need to know if we want or can do this again this year or if we want volunteers to provide supplies. A financial report may help make this decision.
  • Committee assignments: Members for each committee have been realigned. Please see the web sight for this realignment. This was necessary because of the large number of people lost and gained over the last year. We will also post a bulletin with this information on the bulletin board for your viewing. This list will be modified as new members join. Please do your part on these committee’s.
Financial Report:
  • John Plageman
Old Business:
  • Camp workday was August 23rd. We had a great turn out for this day and the board would like to thank all that participated. I don’t ever remember having a work day with so many people attending as we did this year. There is still plenty of work to do so if you could not attend on this day please contact your committee chairman for things that still need to be done. Additionally, we will need everyone’s help to erect the fences in the 20’s when we get ready to do that. A special thanks goes out to Frank Begert for making the effort to travel all the way from Maine especially for this work day.
  • 2008 Family Day: Brett Lavender will be heading this up. Please contact Brett for questions and guidance on what needs to be done. This will be held October 11th which is the Saturday before gun season opens. Ask Brett for any information he would like to present for the family day.
  • The food plots are mowed and ready for planting / fertilizing. Alexander Busch and I started doing this a few weeks ago and Frank Begert and I finished on our work day. Tom Taylor is coordinating with Johnny Blackman, those that need to be re-planted should be soon and those that don’t should be limed and fertilized soon.
  • Lobster Fest this year will be November 8th. We will be strictly limited to a total of 80 lobsters this year. If you want your lobsters please order early. The first week of gun season, October 18th through the 25th, we will allow everyone to order more then two lobsters per member on a first come first serve basis, until we reach our limit. If you haven’t ordered and paid for your lobsters by the Sunday noon, October 26th, it will be too late as usual. The lobsters will be $7.50 each this year. Please see Alexander Busch or Rick Moreau for your order.
  • Hunting season 2008: The next season is upon us and we hope to have another great year. Please remember safety and being respectful of others. Please be sure to use the hunting locater board. I will try to make a chart to track the harvest at work. Please let me know if you have any suggestions for this scoreboard.
  • Fence Installation: Chris Conkle is heading up this project. Please ask Chris for an update on this progress. We need to do this ASAP to prevent any other or more trespassers.
  • Tractor Utilities. We have had luck locating a new Bush Hog however a spreader has not been found. The cost of the new Busch Hog was $481 and change. Although used, this unit is in good condition and should last us quite a few years. Please take care of our equipment. If you are interested in using the tractor we require that you get checked out on it’s operation with one of the board members or another member that has already operated the tractor in the past. Instructions for the tractor use, SOP, is on our web sight.
  • A $20 assessment was approved for all members from the last meeting. This assessment is to pay for the new utilities for the camp tractor. This $20 is due tonight. Please pay John Plageman.
  • Rifle Raffle Committee is Ragan Faler and James Westbury. A report is requested please. The drawing is tonight congratulations to all the winners.
  • Membership drive is in effect and we have 7 openings that need to be filled. If you know someone thinking of joining their chances are narrowing.
  • Land For Sale: We have successfully extended our lease for another year. We still need to actively look for property on which to put the camp property. Any help people can provide in locating a small piece of land for this would be greatly appreciated. With travel and work over the last couple months I have not been able to pursue this.

Aug Meeting Agenda

August 12th, 2008

Meal Schedule
  • August 12th Alexander Busch and Rick Moreau
  • September 9th James Westbury and Chris Daniels
  • October 14th Volunteers Needed?
  • November 8th Rick Moreau and Frank Begert (Lobsters)
  • December 9th Tom Taylor and Dave Tolman

New Business:

  • Camp workday will be August 23rd. If anyone is interested in having dinner and a possible card game the night before please let me know. We may be able to organize this and help us get to know some of the new members. All members are expected to take part in workdays, please make every attempt to be here for this. If you cannot make this day please contact a board member to arrange to do something else for the camp when you can provide some time.
  • 2008 Family Day: We need to decide if we are going to have a third annual family day this year. This has not been mentioned thus far and the time has come to start planning this. Please let us know your opinion. We also need someone to organize this if we do decide to have it this year.
  • Some of the food plots are mowed again. Alexander Busch and I started doing this last Saturday. Unfortunately the Tractor broke down again and we had to stop because of the heat. We still need to have rocks, stumps etc., moved out of some food plots to prevent damaging the tractors when we do work in them.
  • Lobster Fest this year will be November 8th. We will be strictly limited to a total of 80 lobsters this year. If you want your lobsters please order early. The last week before gun season opens I will allow everyone to order more then two lobsters for member on a first come first serve basis, until we reach our number. If you haven’t ordered by the Sunday noon, on opening weekend of gun season it will be too late as usual. The lobsters will be $7.50 each this year.
  • Hunting season 2008: The next season is upon us and we hope to have another great year. Please remember safety and being respectful of others. Please be sure to use the hunting locater board. I will try to make a chart to track the harvest at work. Please let me know if you have any suggestions for this scoreboard.
  • Camp Staples: Does the camp want to provide staples out of the treasury again this year as we normally would?
  • Camp Blog: Mark Schubert has provided us with a great web sight which includes a link to the club’s BLOG page. Please feel free to leave your comments and ideas as you see fit. However, if there is a question that you would like a detailed answer to please be sure to let us know who you are so that we can respond directly to you. Thanks
Financial Report:
  • John Plageman

Old Business:

  • The Warehouser also known as Russellville property is cut. This should provided us with some excellent shooting lanes and more openings to hunt where we couldn’t before. I feel with this cleared and the other piece of property being thinned we will see a good harvest this year.
  • Fence Installation: I am requesting a member to become the POC for erecting a fence where the property will be open to Van Buren road. You would be responsible for organizing this event and coordinating with the camp membership.
  • Tractor Utilities. We have not had luck locating a new Bush Hog or Spreader for the tractor. Plans need to be made to replace this ASAP, any help you can provide would be greatly appreciated. The equipment we have found has been far too expensive for what we would get. Someone knowing where to find a good used Bush Hog or Spreader would certainly help.
  • Rifle Raffle Committee is Ragan Faler and James Westbury. A report is requested please.
  • Membership attendance at each meeting is something difficult to count on. If you are not going to make a meeting please let Rick Moreau, Alex Busch or Mark Schubert know ahead of time. This will allow us to pre-plan meals better with less waste. This waste not only costs money to those responsible for the meal, but it also drives up the price of the meal to those that attend the meeting. Please be responsible.
  • Membership drive is in effect and we have a few openings remaining. If you know someone thinking of joining their chances are narrowing.
  • Land For Sale: We have successfully extended our lease for another year. We still need to look for property on which to put the camp property. Any help people can provide in locating a small piece of land for this would be greatly appreciated. With travel and work over the last couple months I have not been able to pursue this.
